Job Purpose:

As the Academic Operations Administrator you are the custodian of all Student Contracts and issues related to Billing and Financial Credits. You are to ensure that all files all complete and organised using a proper filing and archiving system.

Key Performance Area:

1. Student Registration

  • Planning and oversight of the Registration Process;
  • Ensure that contracts are complete and correct and all relevant sections signed;
  • Billing of all students including SOB;
  • Create and maintain all student files including SOB;
  • Ensure that all relevant supporting documents are in the files;
  • Ensure all hard copy documents are uploaded on SAM;
  • Maintain and control a proper filing/archiving system;
  • Capture and register students on SAM;

2. Admission Requirements

  • Responsible to ensure compliancy with the relevant IIE Policies;
  • Liaise with National on all Admission Queries;
  • Foreign Student Applications €“ Study Permits, etc.;
  • SAQA Equivalence Documents;

3. Contract Cancellations; De-Registrations; Course Changes; Refund Applications

  • Liaise with the National Credit Controller on all credit related queries;
  • Processing all documentation, calculations on accounts and fee adjustments;
  • Working co-operatively with the finance staff with the respect to all documentation in support of fee credits, cancellations, de-registrations, bursaries, sponsors of students accounts and transferring students;
  • Processing all changes in terms of the course and financial changes;

4. Module Registrations

  • Responsible for up-to-date, accurate maintenance and capturing of student data on SAM in respect of registration details;
  • Processing all change of details and change of subject/Modules forms and associated confirmation letters;
  • Working co-operatively with the academic assistants and in support of the HOD€™s with the respect to all details pertaining to changes needed on timetables and registers.

Education:

  • Higher Certificate / Occupational Certificate Level 5 (NQF level 5) in Secretarial / Administration
  • Organised
  • Deadline Driven

Work Experience:

  • 3 Years Administration experience within a Tertiary or Educational Institution
